Understanding The Motor Insurance Database (MID) System: Why It Matters To The Motor Trade

If you’re in the motor trade - whether you’re running a dealership, a repair shop, or a vehicle delivery service, you’ve probably heard about the MID system, but do you really know what it is, why it matters, and how failing to keep it updated could cost your business more than just a fine?
Let’s break it down.
What Is The MID System?
The Motor Insurance Database (MID) is the UK’s central record of insured vehicles, maintained by the Motor Insurers’ Bureau (MIB). It exists to help enforce motor insurance laws, reduce uninsured driving, and protect honest motorists, which includes businesses in the motor trade.
Every trader will have access to the MID system. However, every insurer is different, and so are their MID systems. Most of the time, traders will have a login along with a portal, and it is then your duty to keep it updated. If you don’t have a login with a portal, you will most likely have to contact your broker or the insurer via email or telephone to keep the MID updated.
You only ever need to put vehicles that YOU own onto the MID; you will never have to add a customer vehicle onto the database. Every vehicle you own that is taxed needs to be on the MID. If the vehicle is not taxed, it should be SORN (Statutory Off-Road Notification).
Why The MID Is Crucial For Motor Traders
Unlike standard insurance policies that cover a single private vehicle, motor trade insurance policies are often more flexible, covering multiple vehicles that change frequently, stock vehicles, customer cars, courtesy cars, or demonstrators.
But here’s the catch: only vehicles listed on the MID are considered insured by enforcement agencies like the police or DVLA. So, if your business is driving or storing a vehicle on the road, which is taxed and not on the motor car insurance database, you could be treated as driving uninsured, even if your policy technically covers it. Saying that, remember not to add customer vehicles onto your MID, as you do not own them and are only driving them for MT Use only.
What Happens If You Don’t Update The MID?
Failing to keep the motor insurance database (MID) updated can lead to:
- Fines
- Vehicle seizures
- Prosecution
- Damage to your business reputation

As important as it is to add vehicles to your motor car insurance database, it is just as important to remove them, for example…
You’re a car dealer and you have just sold a stock vehicle. If you don’t remove that stock vehicle from your MID as soon as that car leaves your dealership, your policy is in danger.
